AI for Project Managers (1 day)

Project managers spend less time on project paperwork and more on delivery, with AI helping on plans, risks, reports and minutes – and every date and figure checked.

Project managers lose hours every week to charters, plans, status reports, minutes and stakeholder emails – documents that matter, but that keep them away from scope, risk and the people delivering the work. This one-day masterclass in AI for project managers shows how to use ChatGPT, Microsoft Copilot and the AI features in project tools across the whole lifecycle, from initiation to close-out.

Delegates run a sample project through the day. They draft a charter and work breakdown structure from a scope brief and pressure-test it for gaps, have AI flag missing dependencies and unrealistic durations, build a risk register and run an AI-assisted pre-mortem, turn schedule, budget and risk data into status reports for sponsors and delivery teams, and convert rough notes into minutes with actions, owners and dates.

AI gets dates, dependencies and figures wrong with great confidence, so checking is built into every exercise. The day closes with handling client and project data safely, POPIA where personal information is involved, and shared prompts and templates that give a project office one house format for plans, reports and minutes.

    Why this course

    For your organisation

    • Less project-manager time on status reports, minutes and stakeholder emails
    • Earlier warning of slippage from AI-assisted plan and risk reviews
    • One consistent format for plans, reports and minutes across the PMO
    • Faster ramp-up for new project managers using shared prompts and templates

    For your delegates

    • A complete sample project worked through with AI, start to finish
    • Prompts for charters, plans, risk registers, status reports and minutes
    • A checking routine for AI-generated dates, dependencies and figures
    • Time back for the judgement calls only a project manager can make

What delegates will be able to do

    • Draft a project charter and work breakdown structure from a scope brief, then pressure-test it for gaps
    • Have AI flag missing dependencies, unrealistic durations and resourcing clashes before baseline
    • Build a risk register from a project description and surface overlooked risks with an AI-assisted pre-mortem
    • Turn schedule, budget and risk data into status reports pitched for sponsors, clients or the delivery team
    • Convert recordings or rough notes into minutes with actions, owners and due dates
    • Draft escalation emails, change-request summaries and close-out reports
    • Check AI output for invented dates, figures and dependencies, and keep client data out of public tools

    Who should attend

Project managers, programme managers, project coordinators and administrators, PMO staff and team leads who run projects, in any industry and under any method – waterfall, agile or hybrid. Basic project management knowledge is assumed; no AI experience is needed.
