Effective Business Communication: Emails, Reports and Presentations That Land (3-hour online masterclass)
Emails that get answered, reports that get read and presentations that get a decision – in three hours, using the messages you are working on right now.
Most workplace writing is read on a phone, between meetings, by someone who wants to know one thing: what do you need from me? Emails that bury the request in paragraph four, reports with no summary and slide decks that read like documents all fail that test. This business communication masterclass gives busy professionals three hours to fix the three messages they send most – the email, the short report and the presentation – using one simple discipline: lead with the point, support it, and ask for a clear action.
The session is a focused cut of BOTI's full business communication courses. Delegates start with the reader – who they are, what they already know and what they must decide – and then rewrite one of their own emails live. The report module covers the one-page structure senior readers expect: purpose, findings, recommendation and next steps, with numbers presented so they can be read in seconds. The presentation module turns the same material into a short talk with one key message, three supporting points and a close that asks for something. A final module deals with tone: replying to a difficult email, pushing back on a request, and communicating up, across and with clients without sounding either blunt or vague.
Short exercises in the workbook and on screen run through every module. Delegates leave with a PDF workbook, email and report templates, a presentation planner and a personal action list.
Why this course
For your organisation
- Shorter, clearer emails and fewer follow-ups to find out what was meant
- Reports that support a decision instead of delaying it
- Presentations that respect the audience's time and end with a next step
- A common house style for a team, learnt together in one morning
- A more professional impression on clients, suppliers and senior management
For your delegates
- One structure for emails, reports and presentations that you can apply the same afternoon
- Your own email rewritten and improved during the session
- A one-page report template and a presentation planner
- Ways to say no, disagree or deliver bad news without burning a bridge
- A personal action list for your next week of messages
What delegates will be able to do
- Identify the reader, the decision they must make and the action you want before writing a word
- Write an email with a subject line that says what it is about, the request in the first two lines and a clear deadline
- Cut a message to half its length without losing meaning, using plain English and active verbs
- Structure a short report as purpose, findings, recommendation and next steps, with an executive summary that stands on its own
- Present numbers in a table or chart that a busy reader understands in seconds
- Build a short presentation around one key message and three supporting points, and close with a clear ask
- Choose the right channel – email, call, meeting or instant message – for the message and the moment
- Reply professionally under pressure: handle a sharp email, push back on a request and brief a senior manager with confidence
Who should attend
Anyone whose work depends on being understood in writing or in front of a group: team leaders and managers, project and account staff, analysts and specialists who report to non-specialists, administrators and personal assistants, and graduates and new starters finding their professional voice. It suits people whose English is a second or third language as much as first-language speakers.
Course outline
Live session – Lead with the point: emails, short reports and presentations that get a response
Opening: who is reading, and why
- Welcome, the three hours ahead and a quick poll: the message you most dread sending
- The reader test: who they are, what they know already and what they must decide
- Lead with the point: the one structure that works for an email, a report and a presentation
- Exercise: write the single sentence your reader needs most
Emails that get answered
- Subject lines that say what the email is about and what is needed
- The request in the first two lines, then the detail, then the deadline
- Plain English: short sentences, active verbs, no padding
- Tone: polite without being wordy, firm without being rude
- When not to email: picking up the phone, a Teams message or a short meeting instead
- Exercise: rewrite one of your own emails live and compare before and after
Short reports and presentations that land
- The one-page report: purpose, findings, recommendation, next steps
- An executive summary the reader can act on without reading further
- Numbers in tables and charts that are read in seconds, not studied
- From report to presentation: one key message, three supporting points, a clear ask
- Slides that support the speaker instead of replacing them, online and in the boardroom
- Exercise: plan a five-minute presentation from a case report
Difficult messages, and your action list
- Replying to a sharp or unfair email without escalating
- Saying no, pushing back on a deadline and delivering unwelcome news
- Communicating upward: briefing a senior manager in two minutes
- Communicating across teams and with clients: clarity across languages and cultures
- Personal action list: three habits to change in your next week of messages

Frequently asked questions
How many people can join?
From 1 to 500 delegates on Zoom. Everyone writes and rewrites in their own workbook; in a smaller group the facilitator reviews delegates' emails on screen, and in a larger one polls and chat keep the whole group working.
Do we get handouts?
Yes, electronically: a PDF workbook, email and one-page report templates, a presentation planner and a one-page summary, sent before the session.
Can we run it privately for our team?
Yes. Pick a date and send us a few real emails with names removed, a typical report and a recent slide deck; the facilitator builds the examples and exercises around them so the team works on its own house style.
Does it cover grammar and spelling?
Only in passing. The session is about structure, clarity and tone rather than grammar rules. For a full day on writing mechanics and document types, see Business Writing Skills for Function and Purpose (1 day); for in-depth presentation delivery, see the Professional Presentations Course.
Is it accredited?
No. It is a non-accredited masterclass and delegates receive a BOTI certificate of attendance by email. For a credit-bearing route ask us about BOTI's QCTO skills programmes.
