Training Advice
Microsoft Word Advanced (1 day)
Build the templates, automation and reference tools that make repeated documents – tenders, policies, standard letters and manuals – fast and consistent for the whole organisation.
In every organisation a few people produce the documents everyone else depends on: the tender response template, the policy manual with an index, the three hundred letters that go out after a benefits change, the contract that comes back from legal with two sets of edits. This one-day advanced Word course is for those people. It is the top of BOTI's Word ladder and assumes the skills of the Beginners and Intermediate days.
The day is built on BOTI's licensed Word Expert workshop kit. Delegates modify templates and copy styles, macros and building blocks between them, compare and combine documents, lock and manage Track Changes, restrict editing and protect files. They use wildcards in find and replace, create their own paragraph and character styles, control pagination and link text boxes. They customise a table of contents, build an index and a table of figures, work with fields, and run a mail merge from an Excel list with filtered recipients and a preview. Finally they create building blocks, content controls, simple macros and a custom theme and style set – the parts of a corporate template – and prepare documents for accessibility and language settings.
Delegates go back to work with a template of their own design and a set of automation habits that remove hours of repetitive formatting every month.
Why this course
For your organisation
- One corporate template that keeps every tender, report and letter on brand
- Mail merges, standard clauses and macros that cut hours from repetitive document work
- Controlled reviewing: locked Track Changes, restricted editing and documents protected before they leave
- Manuals and policies with proper indexes, figure lists and references
- In-house Word experts who can support the rest of the team
For your delegates
- Templates, building blocks and style sets you built and can maintain yourself
- Wildcard find and replace that fixes hundreds of inconsistencies in minutes
- A complete mail merge from an Excel list, including recipient filtering and preview
- Simple macros recorded and run from a button – no programming required
- Full command of references: custom table of contents, index, table of figures and fields
What delegates will be able to do
- Modify templates and copy styles, macros and building blocks between documents and templates
- Compare and combine two versions of a document and manage document versions
- Link external content, such as an Excel table, so the document updates when the source changes
- Restrict editing, lock Track Changes, manage comments, and protect a document with a password or mark it as final
- Find and replace text, formatting and styles using wildcards and special characters
- Create and modify paragraph and character styles, set pagination options and link text boxes
- Customise a table of contents, build and update an index and create a table of figures
- Insert and modify fields and run a mail merge from an Excel list, managing recipients and previewing results
- Create Quick Parts, content controls and simple macros, and custom colour sets, font sets, themes and style sets
- Prepare a document for accessibility and international use: language options, alt text and font settings
Who should attend
Experienced Word users who produce the documents others rely on: executive and personal assistants, bid and tender coordinators, HR and compliance officers who own policy manuals, legal and company secretarial staff, marketing and communications teams, and anyone acting as the office's unofficial Word expert. Delegates should already be comfortable with styles, sections, Track Changes and long documents – the content of Microsoft Word Intermediate (1 day).

Frequently asked questions
Can you run this course at our offices?
Yes. Most groups are trained at the client's premises anywhere in South Africa, on your own computers or on laptops we supply on request. We can also host the course at a BOTI venue or run it live online.
How many people can attend?
From one delegate to a group of about 20, each on their own machine so that everyone practises every exercise. See the price table for group pricing, or ask us for a quote.
Is the course accredited?
No – it is a non-accredited short course and delegates receive a BOTI certificate of attendance. The training spend may count towards your B-BBEE skills development – check with your verification agency. If you need an accredited route, ask us about BOTI's End User Computing skills programmes (QCTO accreditation pending).
Do we need to have done the Intermediate day first?
Not formally, but the day assumes it. Delegates should be comfortable with styles, section breaks, Track Changes and long documents. If your group is mixed, Microsoft Word Beginners to Advanced (3 days) takes everyone from the fundamentals to this level in sequence.
Does the course cover mail merge?
Yes. Mail merge sits on the Advanced day: letters, labels, envelopes and emails from an Excel list, managing and filtering the recipient list, inserting merge fields and previewing results before anything is printed or sent.
Can we work on our own templates during the course?
Yes – bring your letterhead, report or tender template. Delegates rebuild or improve a real document from their office and leave with a working template.
