Microsoft Word Intermediate (1 day)
Turn a 40-page policy, report or tender response into a document that is structured, numbered, reviewed and finished – without the formatting falling apart.
Plenty of people use Word every day and still dread the long documents: the policy whose clause numbers go wrong when a paragraph is added, the board report whose table of contents is typed by hand, the tender response that six people edit at once. This one-day Word intermediate course is for them. It assumes the fundamentals and goes straight to the tools that make large and shared documents manageable.
The day is built on BOTI's licensed Word 2024 workshop kit, pitched at intermediate level, and skips the basics covered in Microsoft Word Beginners. Delegates work with styles and multilevel numbering, multi-section layouts with different headers and footers, Outline view and the Navigation Pane, an automatic table of contents, cross-references, tables with formulas and controlled page breaks, charts, Track Changes, comments and co-authoring, a protected fillable form and a company template. The practice documents are the ones South African offices actually produce: an HR policy with numbered clauses, a quarterly report with a landscape appendix, a leave-request form and a tender document under review.
Delegates leave able to build a structured document from a heading outline, review it with colleagues without losing control of the changes, and set up forms and templates that others can use. It is the middle day of BOTI's Word ladder – Beginners, Intermediate, Advanced – available on its own or combined.

Who should attend

Delegates should be comfortable with the content of Microsoft Word Beginners (1 day) or have equivalent everyday experience.
Course outline
Day 1 – Intermediate: structured documents, reviewing and templates
Styles and numbering that hold together
- Why manual formatting breaks in long documents and styles do not
- Applying and modifying built-in styles so one change updates every heading
- Numbered headings for a policy or procedure (1, 1.1, 1.1.1) with a multilevel list linked to heading styles
- Multilevel lists for clause numbering in contracts and tender responses
- Cleaning up formatting in text pasted from emails, PDFs and older documents
Layout for multi-section documents
- Section breaks: a landscape appendix, a different first page, a chapter that starts on a new page
- Headers and footers that differ by section, and page numbers that restart for each part
- Margins, orientation and paper size that change between sections
- Cover pages, columns and pull-out boxes for a newsletter or annual report
- Borders, shading and a DRAFT or CONFIDENTIAL watermark
Long and structured documents
- Building a heading structure Word can work with: headings, subheadings and Outline view
- Moving and reordering whole sections with the Navigation Pane and Outline view
- An automatic table of contents based on your headings, and keeping it current
- Bookmarks and cross-references ('see clause 4.2 on page 12') that update themselves
- Citations, sources and a bibliography in a research or board report

- Protecting the form so colleagues can complete the fields but not change the layout
- AutoText and building blocks for a standard disclaimer, signature block or address
- Customising the ribbon with your own tab and group of commands
- Word options worth changing: AutoSave, default save location and the proofing language (English, South Africa)
How it is delivered
One day, 08:30-16:00. In person at your offices anywhere in South Africa, at a BOTI venue, or live online. One delegate or a group of up to 20, each working on their own machine. Taught in Word for Microsoft 365 (Word 2024); co-authoring, @mentions and version history need a Microsoft 365 account with OneDrive or SharePoint. Laptops with the software can be supplied on request. Manual and exercise files included. Can you run this course at our offices?
Yes. Most groups are trained at the client's premises anywhere in South Africa, on your own computers or on laptops we supply on request. We can also host the course at a BOTI venue or run it live online.
How many people can attend?

Is the course accredited?
No – it is a non-accredited short course and delegates receive a BOTI certificate of attendance. The training spend may count towards your B-BBEE skills development – check with your verification agency. If you need an accredited route, ask us about BOTI's End User Computing skills programmes (QCTO accreditation pending).
What do delegates need to know before attending?
The day assumes the fundamentals covered in Microsoft Word Beginners (1 day): creating and saving documents, basic formatting, simple tables and lists. Self-taught users who do those things comfortably will be fine. If some of your group are new to Word, book Microsoft Word Beginners to Intermediate (2 days) so everyone starts from the same place.
How does this differ from Microsoft Word Advanced?
Intermediate makes you fast and reliable with long documents, reviewing, and simple forms and templates. Microsoft Word Advanced (1 day) goes further into building templates and corporate style sets, building blocks, content controls, macros, indexes, fields and mail merge from Excel. All three days booked together are Microsoft Word Beginners to Advanced (3 days).
Can the exercises use our own policies and templates?
Yes. Send us your policy template, a long report and any forms you want to improve, and the facilitator uses them in the exercises.
