Who buys customer service and call-centre training

This training is mostly bought by people who spend a training budget on their teams. We typically work with:

  • HR and L&D managers who are building a skills-development plan and need structured, reportable training for their Workplace Skills Plan.
  • Operations and contact-centre managers under pressure to improve average handling time, first-call resolution and quality scores.
  • Customer-experience (CX) and service leaders who want a consistent service standard across branches, queues and channels.
  • Business owners and department heads in retail, financial services, telecoms, healthcare, logistics and the public sector who know that service quality drives repeat business.

This page is written for you if you are weighing up cost per head, scheduling around shift patterns or showing the return to a finance director. Request a quote and we will scope the training around your team.

Call centre training for beginners: what new agents learn first

New agents need a small set of habits that work on every call before they move on to advanced techniques. A beginner-level call centre programme usually covers:

  • Call structure: a professional greeting, verifying the caller, finding the real need, resolving or routing the query, confirming next steps and closing politely.
  • Listening and questioning: open and closed questions, summarising back to the caller, and taking accurate notes while talking.
  • Voice and language: tone, pace and clear, plain wording. Agents learn to avoid jargon and to sound helpful even on a long shift.
  • Scripts and systems: following a script without sounding robotic, and keeping customer records accurate.
  • First complaints: staying calm, acknowledging the problem, apologising appropriately and knowing when to escalate.
  • Quality basics: what the team’s QA scorecard measures and how to use feedback from call reviews.

Most new intakes learn best through short role-plays with real call types from your own queues. That is why in-house delivery suits contact centres that onboard agents in groups.

The range of customer service and call-centre courses

BOTI runs a connected family of programmes, so you can match the training to the problem you are trying to solve. Many clients combine two or three focus areas into a single in-house programme.

Focus area Best for Core outcome
Customer Service Excellence All customer-facing staff A consistent service standard and service mindset
Call Centre / Contact Centre Inbound & outbound agents Call control, scripting, handling time, quality
Handling Difficult Customers High-conflict environments De-escalation and complaint resolution
Telephone Etiquette Reception, switchboard, sales Professional voice, tone and call flow
Service Recovery Complaints & retention teams Turning failures into loyalty
Customer Service QA & Scorecards Team leaders & managers Measuring and coaching service quality

The courses most often booked for these needs are:

Several of these topics also have their own guide. Read more on customer service training that lifts retention, call centre training for teams, handling difficult customers training for teams and customer service QA and scorecards for managers.

What a typical programme covers

A blended customer service course at BOTI usually moves through these modules:

  1. The service standard: defining what excellent service looks like for your brand and customers.
  2. Communication core: active listening, questioning, tone and clear professional language.
  3. Call and query handling: structure, control and pace, including telephone etiquette.
  4. Difficult conversations: de-escalation, dealing with anger and saying no professionally.
  5. Service recovery: acknowledging, fixing and following up, so that a complaint protects the relationship.
  6. Quality and consistency: how QA scorecards work and how agents are coached against them.

Because the modules connect, you can start narrow and expand later without re-teaching the basics. For example, you might begin with a one-day telephone etiquette reset for reception and move to a full service-standard rollout afterwards.

What you get: format and certification

Customer service and call-centre training at BOTI is practical and facilitator-led. Delegates receive a BOTI certificate of attendance. These short courses are not accredited qualifications.

BOTI is a QCTO-accredited Skills Development Provider and holds Services SETA accreditation (12582) for legacy SETA qualifications. If you need an accredited route recorded for your team, ask about one of these, which can run alongside a customer service programme:

Last dates for new enrolments:

  • Occupational Certificate: Office Administrator (SAQA ID 102161): NQF Level 5 and 445 credits. The last date for enrolment is 30 December 2026, and learners must complete by 30 December 2029[1]. It ends in an External Integrated Summative Assessment (EISA), and the QCTO issues the certificate.
  • National Certificate: Generic Management (SAQA ID 59201): this legacy Services SETA qualification has a last date for enrolment of 30 June 2028 and a last date for achievement of 30 June 2031[2].

New learners must enrol before the date shown.

Short courses (one- to three-day workshops) are fast and flexible. They suit an immediate performance lift, for example getting a new contact-centre intake call-ready or resetting service standards across a branch network before a busy season.

Multi-day programme Short workshop
Outcome Structured skills development Practical skills lift
Speed Multi-day, exercise-based 1-3 days typically
Best when Embedding a service standard Fast performance improvement
Reportable Yes, as internal training Yes, as internal training

In practice, many teams run both: a short workshop to lift performance quickly this quarter, and a fuller programme to embed the standard across the team. If you are not sure which route suits you, tell us your goal and we will recommend one. Request a quote.

Delivery options

BOTI delivers customer service and call-centre training in the way that suits your operation:

  • In-house / on-site: we train your team at your premises, using your systems, scripts and real scenarios. Contact centres often choose this option because it reduces floor downtime and lets us tailor content to your queues.
  • Scheduled courses at BOTI’s venue: individuals or small groups join a programme at BOTI’s venue in Sunningdale, Johannesburg.
  • Live online: facilitated virtual sessions for distributed or remote teams.

BOTI is a QCTO-accredited provider with 450 courses. Its clients include Sasol, Glencore and the City of Johannesburg, and it can roll out a consistent programme across several sites or regions.

Funding: the skills levy, WSP and B-BBEE skills development

Customer service and call-centre training fits naturally into a structured skills-development plan.

  • Skills Development Levy (SDL). The SDL is 1% of the leviable amount (total remuneration). Employers whose leviable amount over the next 12 months will not exceed R500,000 are exempt[3]. If you pay the levy, structured and reportable training helps you put it to work rather than treating it as a sunk cost.
  • B-BBEE skills development. Under the amended generic Codes, the skills development target is 6% of the leviable amount. This is made up of 3.5% on learning programmes for black people and 2.5% on bursaries for black students at higher education institutions, plus 0.3% for black employees with disabilities[4]. Sector codes may differ. Whether a particular course is recognised depends on how it is structured, documented and verified, so confirm this with your B-BBEE verification agency before you plan on it.
  • Workplace Skills Plan (WSP). Include this training in your WSP and Annual Training Report. The SETA mandatory grant is 20% of levies paid. It is paid back when the WSP and ATR are submitted by 30 April and your levy payments are up to date. Unclaimed mandatory grant money moves to discretionary funding by 15 August[5].

This is general guidance, not financial or legal advice. Confirm the specifics with your skills development facilitator or your SETA. If you want to measure and coach service quality consistently, ask BOTI to help you build a customer service QA scorecard for your team.
