Time Management and Focus in a Hybrid Workplace (3-hour online masterclass)
Your inbox stops running your day: in three hours you learn to decide what matters, block time for it, hand off what you should not be doing and protect your focus – at the office and at home.
Hybrid work promised fewer interruptions and delivered more: Teams pings at the home desk, meetings booked across the whole day, WhatsApp groups for work, and an inbox that fills up whichever building you are in. This time management masterclass is a live, three-hour online session that gives busy staff and team leaders a small set of tools for deciding what matters, protecting time for it and getting the distractions under control – on office days and home days alike.
Delegates look at where their week actually goes, then apply the urgent-important matrix and the 80/20 rule to their own task list. They plan a real week with time blocks for focused work, meetings and email, learn practical ways to beat procrastination on the task they keep moving to tomorrow, and set up notification, email and calendar rules that hold. Team leaders also work on delegation – what to hand over, how to brief it and how to keep sight of it without hovering. Each tool is applied in the workbook or in a short breakout exercise, so people leave with their own week planned rather than a list of theories.
It is the focused cut of BOTI's one-day time management and personal productivity courses, built to be done in a morning on Zoom. Everyone finishes with a prioritised task list for next week, a calendar with the first time blocks in it, and three habits to change.
Why this course
For your organisation
- More of the important work finished on time, with fewer last-minute rushes
- Fewer and shorter meetings, because people know what their time is for
- Team leaders who delegate properly instead of doing everything themselves
- A shared approach to priorities and focus that works across office and remote days
- A whole department trained in one morning, wherever they happen to be
For your delegates
- A clear method for deciding what to do first and what to let go
- A week planned in time blocks, with real space for the work that matters
- Practical ways to beat procrastination and start the hard task
- Email, calendar and notification rules that stop the inbox running your day
- A delegation habit that frees your time without losing control
What delegates will be able to do
- Track where a typical week goes and name your top three time wasters
- Sort a task list with the urgent-important matrix and the 80/20 rule
- Plan a week in time blocks for focused work, meetings and email, on office and home days
- Break a task you keep postponing into a first step you will actually take
- Set email, calendar and notification rules that cut interruptions on Teams, Outlook and your phone
- Say no, or not now, to requests that do not belong on your list
- Delegate a task with a clear brief, a deadline and a check-in point
- Choose three habits to change and plan how to keep them for 30 days
Who should attend
Anyone whose working day is spread across an office, a home desk and a phone: administrators, specialists, project staff, supervisors, team leaders and managers. It works for individuals joining a public session and for a team or department that wants one shared way of planning its week. No prior training is needed; delegates should have their own task list and calendar open during the session.
Course outline
Live session – Decide what matters, block the time, protect the focus

Time blocking and beating procrastination
- Planning a week in blocks: focused work, meetings, email and admin

- Questions, one-page summary and close
How it is delivered
Live online on Zoom (or Microsoft Teams), 2.5 to 3 hours – usually 09:00-12:00 with a short break halfway, or at a time that suits your team. From 1 to 500 delegates: the breakout exercises work best in groups of up to about 25, and larger groups take part through polls, chat exercises and demonstrations. Handouts are electronic: a PDF workbook, a weekly planning template and a one-page summary are emailed before the session. Delegates should have their own task list and calendar open. Join a public session as an individual, or book it privately for your organisation on a date of your choice, with the examples matched to how your team works.

Frequently asked questions
How many people can join?
From one delegate to 500 on Zoom. Breakout exercises run with groups of up to about 25; larger groups take part through polls, chat exercises and facilitator demonstrations.
Do we get handouts?
Yes, electronically. A PDF workbook, the weekly planning template and a one-page summary are emailed to each delegate before the session.
Can we run it privately for our team?
Yes. Choose the date and time and tell us how your team works – office days, shifts, field staff, Outlook or Google Calendar – and the examples and exercises are adjusted to match.
Does it cover Outlook and Teams settings?
Yes, at a practical level: the notification, calendar and email settings that cut interruptions, demonstrated live. It is not a software course; BOTI's Microsoft Outlook courses go deeper into the tool itself.
Is this the same as the one-day time management course?
No. The one-day Essential Time Management Skills course covers goals, meetings, workspace and delegation in more depth, with a full day of exercises. The masterclass gives you priorities, time blocking, focus and delegation in a morning online, tuned to hybrid work.
