Description: Business writing is a fine art that takes years to master; here is a little summary.
The first very basic trick is to avoid metaphors… completely. Metaphors and similes have a place in society and always will have one. They encapsulate feelings and emotions words fail to do, but they are to be left out of writing. Why? The reason is simple. Their very nature is that they’re open to interpretation. Metaphors and similes work by having someone deduce and evoke a feeling by comparing a something in a piece of writing to something more familiar to a reader. However, even though we often have similar feelings about things, they could vary in a small degree and people could draw different feelings from them. Therefore they are open to interpretation and should stay in literature and out of very precise discussions which could make or break your livelihood.
The second trick is to make sure you use accessible, easily understood language. Not everyone you encounter on your business journeys will have a passion for words such as you and they might not even understand half of what you’re saying if you resort to extended vocabulary to impress them. I encourage you to use simple words even non-native English speakers could most probably understand. You should pay careful attention to your diction as your diction truly conveys your message. If the message is going over their heads due to your fancy use of words, you’ve just shot yourself in the foot.
The third and final trick is to make sure that all the words you have included in your passage are relevant. Yes, you’ve heard me right. Cutting, cutting and some more cutting is what’s required for you to thrive when you’re writing in the workplace. The extra words that don’t really add anything to the message are just there for show and should rather be omitted. You have no word count to reach in your emails, so you should refrain from using extra words althogether.
