AI at Work: ChatGPT and Copilot for Everyday Tasks (3-hour online masterclass)
In one morning your team learns to hand ChatGPT or Copilot the routine parts of the day – drafting, summarising, research and meeting follow-ups – and to check every answer before it is used.
AI is on most people's screens now – ChatGPT, Microsoft Copilot, Gemini – and in most South African offices it is used for the odd email, avoided altogether, or fed client information it should never see. This three-hour AI masterclass moves a whole team past that point in one morning: where AI saves real time in their own job, where it does not belong, and how to check what it produces before anyone relies on it.
The session is a focused cut of BOTI's full-day AI courses, built for groups of any size on Zoom. Delegates work on their own screen through four everyday jobs: writing and rewriting emails and short documents, summarising a long report or thread, researching a question with sources they can verify, and turning a meeting into minutes and actions. Each exercise uses one simple prompt structure and ends with a check of the output – facts, figures, tone and anything confidential.
The close covers the rules that keep AI use safe at work – POPIA, confidential information, invented facts – and every delegate leaves with a personal action list: three tasks from their own week to hand to AI, and how they will check the result.
Why this course
For your organisation
- A whole team, in one office or spread across several, brought to the same practical level in one morning
- Routine drafting, summarising and research time handed back to real work
- Fewer confidentiality and accuracy slips reaching clients, with POPIA in view
- One prompt approach and one checking routine that everyone shares
- A low-cost first step before deeper AI training for specific roles
For your delegates
- Plain language from the start – no technical background needed
- Hands-on practice on tasks from your own job, not a demonstration to watch
- A prompt structure that works in ChatGPT, Copilot and Gemini alike
- A short routine for checking AI output before you use it
- A personal three-task plan for next week, plus the PDF workbook and prompt templates to keep
What delegates will be able to do
- Explain in plain words what ChatGPT and Copilot do well and where they fail
- Write a prompt with a goal, context, source and format that returns usable output
- Draft and rewrite emails, letters and short documents in the right tone
- Summarise a long report or email thread into the points that matter
- Research a question with a source-citing tool and verify the sources before relying on them
- Turn meeting notes or a recording into minutes, decisions and actions
- Check AI output for invented facts, stale information and bias
- Keep personal and confidential information out of public AI tools, in line with POPIA
- Choose three tasks from your own week to hand to AI, and keep your own judgement on the rest
Who should attend
Employees, team leaders and managers in any role who want to use AI in their daily work – administrators, coordinators, analysts, HR and finance staff, sales and customer teams – and organisations that want a large group to start from the same grounding without taking everyone out for a full day. No technical background is needed; people who have never opened an AI tool sit comfortably beside colleagues who have experimented on their own.
Course outline
Live session – ChatGPT and Copilot on four everyday jobs, used safely
Opening: where AI fits in your working day
- What ChatGPT, Microsoft Copilot and Gemini are, in plain language, and what they can and cannot see
- Free and business accounts, and what your organisation's AI policy allows
- One prompt structure for any assistant: goal, context, source and format
- Quick poll: which routine tasks eat your week
Writing and summarising
- Drafting an email, a letter to a customer or a short report from a few bullet points
- Rewriting for tone, length and plain English – a reply to a complaint, a note to the team
- Summarising a 30-page report or a long email thread into one page
- Checking the draft: facts, figures, tone and house style
- On-screen exercise: one of your own emails, rewritten and checked
Research, meetings and simple data
- Researching a question with a source-citing tool and checking the sources and dates
- Turning meeting notes or a Teams or Zoom recording into minutes, decisions and actions
- Asking questions of a spreadsheet or report in plain language, and checking each figure
- Comparing suppliers, options or quotes in a table
- On-screen exercise: a supplier comparison built, then verified against the sources
Safe use and your action list
- Invented facts, stale information and bias: how to catch them before they go out
- POPIA and confidentiality: what never goes into a public AI tool
- A review checklist before any AI-assisted work leaves your desk
- Your personal action list: three tasks to hand to AI next week, and how you will check them
How it is delivered
Live online on Zoom (or Microsoft Teams if your organisation prefers it), 2.5 to 3 hours – typically 09:00-12:00, or a time that suits the team. From 1 to 500 delegates can join, so a whole department or several offices can attend together. Handouts are electronic: a PDF workbook, prompt templates and a one-page summary are emailed before the session. Delegates need a laptop with internet access and a free or work account for ChatGPT, Microsoft Copilot or Gemini – whichever tools your organisation allows – so that they do the exercises on their own screen. The masterclass runs for a public group on scheduled dates, or privately for one organisation on a date of its choice, with examples drawn from your own work.

Frequently asked questions
How many people can join?
From 1 to 500 delegates on Zoom (or Microsoft Teams). Everyone does the exercises on their own screen, and questions come through the chat and short polls, so a large group gets as much practice as a small one.
Do we get handouts?
Yes, electronically. A PDF workbook, prompt templates and a one-page summary are emailed to every delegate before the session, so there is nothing to print or post.
Can we run it privately for our team?
Yes. We run the masterclass for one organisation on a date and time of your choice, and the facilitator builds the exercises around your own emails, reports and meeting types (with anything confidential removed).
Do delegates need paid AI licences?
No. The free versions of ChatGPT, Microsoft Copilot or Gemini are enough for the exercises. If your organisation has Microsoft 365 Copilot or business accounts, we use those and follow your AI policy.
How is this different from BOTI's full-day AI courses?
This is the three-hour version for large groups and busy diaries: four everyday jobs, one prompt structure and the safety rules. Unleashing the Power of AI for Everyday Work (2 days) goes much deeper, and Microsoft Copilot for Productivity (1 day) concentrates on Copilot inside the Microsoft 365 apps.
