Microsoft Copilot in Word, Excel, Outlook and Teams (3-hour online masterclass)

In one morning, staff learn to put Copilot to work inside the Word, Excel, Outlook and Teams they already use all day – and to check its output before anything goes out.

Many South African organisations now pay for Microsoft 365 Copilot and see it used for the occasional email. The licences are paid for; the daily habit is missing. This three-hour Microsoft Copilot masterclass builds that habit for a whole team at once, live on Zoom, app by app, on the work people actually do: the weekly report, the overflowing inbox, the month-end table and the meeting nobody wrote up.

The session is a focused cut of BOTI's full-day Copilot course. On their own screen, signed in to their own work account, delegates produce a first draft in Word and tighten it, catch up on a long Outlook thread and reply, put plain-English questions to an Excel table and get formulas suggested, and pull a recap with decisions and actions out of a Teams meeting – with one way of briefing Copilot that works in every app.

It closes with what keeps Copilot use safe: checking output against the source, knowing what Copilot can reach in your organisation's files, and POPIA on personal information. Everyone leaves with a review checklist and five tasks from their own week to hand to Copilot.

    Why this course

    For your organisation

    • More daily value from the Microsoft 365 Copilot licences you already pay for
    • A whole team trained in one morning, without a day out of the office
    • Faster turnaround on documents, email replies, meeting follow-ups and reports
    • Staff who check Copilot's output and protect confidential data before sending
    • One way of briefing Copilot and one review checklist shared across the team

    For your delegates

    • Hands-on practice in Word, Excel, Outlook and Teams on your own account
    • One way of asking that works in every Microsoft 365 app
    • Inbox and meeting routines that save time from the next morning
    • A review checklist for Copilot's output, plus the PDF workbook and prompt templates to keep
    • Five tasks chosen from your own week to hand to Copilot

What delegates will be able to do

    • Explain where Copilot sits in Microsoft 365 and which of your files, mail and meetings it can reach
    • Give Copilot a clear brief: goal, context, source and the format you want back
    • Produce a first draft in Word from a few notes, then tighten its tone and length
    • Catch up on a long Outlook thread in seconds and reply in your own words
    • Put a question to an Excel table in plain English and get a formula suggested and explained
    • Pull a recap, the decisions and the action items out of a Teams meeting and send the follow-up
    • Spot invented facts, out-of-date figures and wrong totals before they reach anyone
    • Keep personal and confidential information protected under POPIA in prompts, outputs and shared files

    Who should attend

Anyone who works in Microsoft 365 and has a Copilot licence, or is about to get one: administrators, personal assistants, analysts, professionals, team leaders and managers in any department. It needs no previous AI experience and suits a large roll-out where everyone must reach the same baseline quickly – an IT department switching on licences for 200 people can train them all in one session.

    Course outline

Live session – Copilot in the four apps you use all day

    Opening: Copilot in Microsoft 365
    • Copilot Chat and Copilot inside the apps: what each one is for
    • What Copilot can reach – your files, mail, chats and meetings – within the permissions you already have
    • Which features your organisation's licences switch on
    • One way of briefing Copilot in every app: goal, context, source and format
Word and Outlook: documents, threads and replies
    • A first draft in Word from a short brief or an existing file
    • Rewriting for tone, length and plain English – a policy note, a customer letter
    • Summarising a 40-message thread in Outlook and drafting the reply
    • Checking a draft email for tone and clarity before it goes to a client or a colleague
    • On-screen exercise: your own thread summarised, your own reply drafted and checked
Excel and Teams: tables, meetings and actions
    • Turning a range into an Excel table so that Copilot can read it
    • Plain-English questions about a sales or leave register, with formulas suggested and explained
    • Highlighting totals, trends and outliers, and checking each answer against the data
    • Meeting recaps in Teams: summary, decisions and action items with owners
    • Catching up on a meeting or chat you missed
    • On-screen exercise: a month-end table questioned, a meeting recap turned into follow-ups
Safe use and your action list
    • Where Copilot gets it wrong: invented facts, stale data and wrong figures
    • Oversharing: permissions, links and shared files, and POPIA on personal information
    • A review checklist before any Copilot-assisted work leaves your desk
    • Your personal action list: five tasks to hand to Copilot next week

    How it is delivered

Live online on Zoom (or Microsoft Teams, a natural fit for a Copilot session), 2.5 to 3 hours – typically 09:00-12:00, or a time that suits the team. From 1 to 500 delegates can join. Handouts are electronic: a PDF workbook, prompt templates and a one-page summary are emailed before the session. Delegates need a laptop signed in to their own Microsoft 365 work account with a Microsoft 365 Copilot licence, so that they practise on the features your organisation actually has; if your organisation only has Copilot Chat, tell us beforehand and we adapt the exercises. The masterclass runs for a public group on scheduled dates, or privately for one organisation on a date of its choice.

Certificate: Delegates receive a BOTI certificate of attendance by email. This is a non-accredited masterclass; for a credit-bearing route ask us about BOTI's QCTO skills programmes.

    Frequently asked questions

    How many people can join?

From 1 to 500 delegates on Zoom or Microsoft Teams. Everyone works on their own screen and account, and questions come through the chat and short polls, so a large roll-out gets as much hands-on practice as a small group.

    Do we get handouts?

Yes, electronically: a PDF workbook, Copilot prompt templates and a one-page summary, emailed to every delegate before the session.

Can we run it privately for our team?

Yes. We run it for one organisation on a date and time of your choice, and the facilitator builds the exercises around your own documents, reports and meeting types (with anything confidential removed).

Do delegates need a Microsoft 365 Copilot licence?

Yes, for the in-app exercises: each delegate signs in to a work account that has a Microsoft 365 Copilot licence. Organisations with Copilot Chat only should tell us when booking; the facilitator then adjusts the exercises and marks which features need the full licence.

    Is there a longer course?

Yes. Microsoft Copilot for Productivity (1 day) covers the same apps in more depth and adds PowerPoint, and Microsoft Copilot at Work (2 days) adds prompting craft, data work in Excel, team workflows and a responsible-use policy.
